Administrative Assistant will support daily operations related to Sales and Production. Candidates should possess a positive attitude, be a self-starter, strong administrative skills, and have previous experience in the construction industry.

Essential Functions

  • Creating and maintaining accurate Excel spreadsheets, including account master sheets, product/pricing setup forms, and price changes.
  • Anticipating the needs of the Sales department (must be comfortable creating Excel spreadsheets using formulas, multiple tabs connected by formulas, and much more).
  • Assist sales team with monitoring accounts
  • Maintaining regular contact with sales reps.
  • Compiling and maintaining various reports

Responsibilities

Sales

  • · Print Plans for Estimators
  • · Manage Bid Board Each Day
  • · Send Proposals/Bids to Customers
  • · Prepare Change Orders for Customers
  • · Maintain Price Comparison Sheet

Inventory

  • · Order materials for Production
  • · Schedule and follow up on Orders (Trucking)
  • · Communication to all staff regarding the Production of Orders rescheduled or delayed.
  • · Process Inventory Counts Daily.
  • · Check/ Balances of Inventory Counts

Administrative

  • Prepare all correspondence to clients·
  • Manager calendar/schedule for owner
  • Review Emails and distribute items accordingly

Profile:

  • 2+ years' experience in an administrative role, required
  • Experience in the Construction industry required
  • Proficiency in Microsoft Excel, Word, and Outlook, required
  • Must be self-driven and motivated
  • Must be able to take initiative and responsibility for new tasks and processes
  • Strong organizational and communication skills
  • Great attention to detail and task-oriented.
  • Strong work ethic and a team player.

We are seeking an individual who has insulation/construction experience. Bilingual skills are a plus in English/Spanish. If interested, please submit your resume in Word format.
