Job Description/Duties: 

· Greet everyone that comes in; Greet visitors, offer them a beverage and snacks

· Be available and proactive to help

o Let them know where the kitchen and restrooms are

o Let them know that there is free coffee, tea, and creamers in the kitchen as well as a café in the lobby and snacks and drinks for purchase in the common area.

o Let them know about conference room options as well as free use booths

· Help employees get a conference room when in need; Show them the process if they have a badge and would like to know how.

· Help employees and visitors connect to WiFi and printer as needed

o Show them the info sheets in case they need help when you’re not there

Deliveries & Stocking (must be able to lift up to 15lbs)

· Check snack and drink inventory; Restock beverage refrigerator and snack shelf every morning

· Make sure that office supplies are stocked on shelf and notepads and pens on desks

· Make sure printer is stocked with paper

· Make sure Kleenex and sanitizer are full on each table

· Order Instacart restock as needed

· Use cart to bring up deliveries

· Unbox and put away Instacart deliveries

· Check all deliveries from food and office supplies to make sure they are accurate

· notify vendors if anything is missing

· Accept deliveries from UPS, FedEx, and USPS from service desk

· Notify colleagues of packages (processing mail is explained in depth on job duties sheet)

Space Organization & Cleaning

· Make sure all boxes are broken down and put in recycling (large boxes should be taken to the freight elevator room outside of the door to the kitchen)

· Throw out any trash left out

· Dust equipment

· Wipe down all surfaces and door handles in office

· Wipe down whiteboard

· Take any cups or utensils to kitchen and put them in the dirty dish bin

· Straighten up cables and docking stations, making sure they are accessible

· Push in all chairs

Maintenance

· Fix printers when they are not working properly (i.e. removing paper jam or replacing ink cartridge) or escalate to IT for support if printer is offline.

· Make sure all desks have cables or docking stations needed for laptop, mouse, and keyboard connections, some users have different needs based on their laptops inputs

· Mail out envelopes for teams when requested

· Create labels and send out boxes for IT team when requested

· Assist fellow Office Ops team with ad hoc requests

Meetings

· Attend virtual Office Operations Meetings or other meetings as scheduled

Required Experience or Skills

· 2-5 years experience in an office environment

· Solid understanding of Microsoft office suite or Google Suite programs including email and video calls

· Must be able to lift up to 15lbs.
